A person can only be migrated into an account that already exists in the target. Matching is the step where every source person gets a target account — automatically where it is obvious, by hand or by CSV where it isn't.
How auto-match works
The assessment (and Auto-match on the Users tab) pairs people in three passes, stopping at the first that finds exactly one candidate:
- Same alias — the part before @ (
aisha.rahman@contoso.com→aisha.rahman@fabrikam.com). - Same email alias — a proxy address in the target that matches the source address.
- Same display name — only if it is unique in the target.
Pairs you set by hand or import are never overwritten by auto-match.
Pairing by hand
Unmatched rows have an address field with the likely target already suggested. Type the target address and press Pair. Matched rows show the target with a change link on hover. Once a person's migration has started, the pair is fixed so delta passes keep landing in the same place.
Importing a CSV
CSV → Import mapping. Two columns, no header needed:
source address, target address
aisha.rahman@contoso.com, aisha.rahman@fabrikam.com
e.petrova@contoso.com, elena.petrova@fabrikam.com
Lines that don't match a source user or point at an account that doesn't exist in the target are listed back to you and skipped. Download current mapping gives you a template with everything already paired.
Excluding people
Leavers, service accounts, anyone who should stay behind: press Exclude. Excluded people use no license and are left out of every pass. Include brings them back.
Starting migrations
Tick people and press Migrate selected, or Migrate all matched. The first time a person starts, one license is used (half for a shared mailbox). Everything after that — delta passes, retries, verification — is free.
Shared mailboxes appear here too
Shared, room and equipment mailboxes are matched like people (kind "shared") and cost half a license. Their access rights and aliases are handled on the Shared & groups tab.
